Background

Whilst working with an existing client, Vernon Marshal, it was agreed that we would provide additional administrative support for a recruitment process as a new position was being created within their practice. Due to pressures of work the Partners felt that the administration connected to the recruitment process would be an additional workload that they would not easily accommodate.

Process

Initial meeting to agree the strategy and to confirm the schedule. The job description was finalised and a full understanding of both the technical requirements (qualifications), together with a proven track record of appropriate experience, was gained by the Directors of PA 4A Day for the type of candidate to fit the criteria. At the same meeting it was agreed that the vacancy would be listed on the Practice website and would then be followed by an advertisement in the local paper. In addition notification of the role was disseminated through social media. Information regarding advertising costs and lead times was supplied by PA 4A Day and a proposal was offered for consideration regarding the style and wording of the advertisement.

CVs

PA 4A Day processed the CVs as they were received and those who did not have suitable qualifications or experience were notified that their application had been unsuccessful.

Interview process

Interviews were then arranged to take place at the offices of the client and the necessary telephone calls and emails were made to organise the interview schedule.

The 'first-round' interviews were handled by PA 4A Day and those candidates who were unsuccessful were duly notified.

A follow-up meeting took place to agree the rationale behind the decisions and four strong candidates were proposed to go forward to second interview with the partners. Arrangements were made with these candidates via email and telephone for them to attend a second-round interview.

Final interviews

The Partners carried out the four second-round interviews and were then in a position to fill the position with the person they felt would best meet their needs.

Michele and Janet provided us with an excellent service. Their understanding of the position to be filled enabled them to be very accurate when preparing the job description which in turn attracted a good number of high calibre candidates.

We were able to get on with running our business, leaving the recruitment process in their capable hands.
